Job Description

The Accessioning Manager is responsible for overseeing the daily operations of the accessioning department in a high-throughput diagnostic laboratory. This role ensures the accurate and efficient receipt, identification, labeling, and documentation of patient specimens in compliance with regulatory standards and internal protocols. The Accessioning Manager plays a critical role in maintaining specimen integrity and workflow continuity from intake to laboratory processing.

Key Responsibilities:

  • Supervise, train, and mentor accessioning staff, including performance management and scheduling.
  • Maintain appropriate staffing levels to ensure timely processing of specimens.
  • Develop and implement standard operating procedures (SOPs) for accessioning processes.
  • Continuously evaluate and improve workflow efficiency, accuracy, and turnaround times.
  • Monitor specimen intake for labeling errors, incomplete documentation, or integrity issues.
  • Ensure compliance with CLIA, CAP, HIPAA, and other regulatory requirements.
  • Maintain and report quality control metrics for accessioning activities.
  • Oversee accurate data entry into Laboratory Information Management System (LIMS).
  • Collaborate with IT and laboratory teams to troubleshoot and resolve data or system issues.
  • Ensure chain-of-custody and sample traceability from receipt to processing.
  • Serve as a liaison between accessioning, client services, laboratory personnel, and logistics teams.
  • Assist with onboarding of new clients by establishing intake protocols and documentation standards.
  • Maintain inventory of accessioning supplies and ensure readiness for high-volume workflows.
  • Coordinate with procurement for timely replenishment of materials.
  • Develop onboarding and continuing education programs for accessioning staff.
  • Ensure team is trained on current SOPs, safety procedures, and privacy regulations.

Qualifications:

  • Bachelor’s degree in a life science, healthcare administration, or related field preferred.
  • Minimum of 3 years in a clinical or diagnostic laboratory setting.
  • At least 2 years in a supervisory or management role within a laboratory environment.
  • Strong understanding of specimen handling and laboratory information systems (LIS/LIMS).
  • Proven leadership, communication, and problem-solving skills.
  • High attention to detail and ability to work in a fast-paced, regulated environment.
  • Proficiency with Microsoft Office and data entry tools.
